How Do I Plan Group Travel?
Are you considering group travel for your business, club, or non-profit? By now you have heard about the numerous benefits of group travel...but how do you make it happen? Here I am giving you a little insight into my process, though everything I do will be tweaked to meet the precise needs of your group.
Reach out to me! I am just a call or email away so if you think that group travel is something you want to do then we need to talk. I will discuss the steps and evaluate your business or organization to see if you would be a good candidate for group travel. Any organization that incites passion in their followers is a good candidate...but there is so much more to take into consideration. We will discuss your customers - what type of travel is a good fit for them? What will they want out of a group trip? What price range should we consider? When can they travel? For how long?
Another important consideration is your ability to fill a group. If your followers are passionate about what you do, then you are already off to a good start. But we should also consider your blog and newsletter. What sort of a distribution list do you have? Do 100 or 1,000 or 10,000 people receive your newsletters? What about social media - how many followers and how engaged is your following?
Once we decide that your organization is a good fit for group travel, we will decide destination, time frame, and pricing. Then I get to work crafting an itinerary that I know your followers will love. I get quotes and once you approve of the itinerary, I will move forward securing group space. Many hotels and tour companies will require a deposit of some sort, whether that is a per person fee or an overall percentage of the price. The same goes for securing group airfare. This will vary based on what companies we are partnering with, but I will let you know all the details.
At this point I will create an information page, a booking page, and assist with the creation of social media posts and newsletters so that we can make the big announcement! This will go out to your entire following and this way you will easily be able to direct those who are interested to the information page where they will find the answers to their questions.
Now we need to hold an informational event to invite your followers to come and learn more about the trip - and give them the opportunity to sign up right then and there! I will put together a presentation and will often invite my partners to come speak as well.
At this point we will continue pushing the group on social media and any other outlets see feel are appropriate. Once the group is filled, we can waitlist others who are interested and make sure that anyone who registers interest will be the first to find out about the trip next year!
